INTERNSHIP PROGRAM
GUIDELINES

Business Conduct.

 

1. Every action you take in service of the EarthTraces ministry is a demonstration of  your commitment to Christ and needs to be an appropriate reflection of service to God. Anything done carelessly or as a low priority does not show the appropriate respect for the Lord.

 

2. You may or may not have been exposed to professional services operations, however, EarthTraces operates as one. We immediately address the questions, concerns or needs of our customers (the Churches and Christian Organizations, families and individuals that are part of or users of the EarthTraces ministry).

 

Work Assignments.

 

1. Status reports on work assignments should be made at least twice a week to the Administrative Manager. This can be as simple as a quick email, however, it should contain an update of the progress you have made since the last update and your current plan and timeline for completion.

 

2. Always contact Church professionals at there offices during regular business hours, unless you have their specific permission to contact them during other times about the topic at hand.

 

3. Every email or phone call you receive from or about EarthTraces should be replied to within 24 hours. No email or phone call should ever go unanswered. This is true, even if your reply is only to provide your plan and timeline for completion of the request.

 

4. No intern may leave his/her work assignment without prior approval of the Executive Director or the Board of Directors ("Board").

 

EarthTraces Funds.

 

1. Expense reimbursements must be made by EarthTraces expense account. Only expenses that were pre-approved by the Executive Director are eligible for reimbursement. An original receipt will be submitted for each item to be reimbursed. Lost or stolen receipts are not reimbursable, however, in such an instance, copies of receipts obtained from the vendor will be accepted.

 

2. Cash advances to any staff member or leader must be approved by the Executive Director and the Board in advance. All cash advances must be repaid before the end of the program season in August. Tuition reimbursement, per diem and other reimbursements will be withheld until cash advances are repaid.

 

EarthTraces Property.

 

1. No property belonging to EarthTraces or its leaders may be used for the personal benefit of another without approval of the Executive Director or Board. No EarthTraces property may be converted to the personal use of another without proper compensation to EarthTraces (i.e.: sale/purchase) as determined by the Board.

 

Leaving Internship Program.

 

1. Voluntary Termination. It is understood that some will not be able to complete their internship commitment due to emergency or personal reasons. Due to the rigors of the program, it is expected that 30% will drop-out prior to completion of 100-days. Individuals wishing to leave the program must notify the Program Director and Board in advance in writing by emailing . A representative of the Board shall respond that this notice was received. NOTE: Final payment of any per diem, awards or other amounts other than cash expense reimbursements shall be delayed until this written notice is received and acted on by the Board. The individual is to keep this response for their records. The reason(s) for discontinuation of service and the requested exit date is to be listed in addition to whether or not the customary 2-week notice is to be given. The Executive Director may determine what notice period, if any, is appropriate for the individual involved. The Board at is sole discretion will indicate the individual's file as excused or not-excused / terminated from the program. Any individual failing to notify the Board as required in this section will be marked at not-excused / terminated. Future requests for references by prospective employers, college programs or others will reflect this status. 

 

2. Involuntary Termination. It is understood that the Executive Director or the Board may at any time, for any reason and without notice, terminate the participation of any person in the internship program. The Board at is sole discretion will indicate the individual's file as excused or not-excused / terminated from the program.

 

3. Not-excused termination. Any individual indicated as terminated and not-excused is ineligible for bonus or awards. Further, the individual shall reimburse the program a sum equal to 5-days compensation or reimbursements for training and other expenses incurred on their behalf.
